Privacy Policy

This Privacy Policy describes how ClearBid ("we," "us," or "our") handles information when you use useclearbid.com. We've tried to write this in plain language and to keep it accurate to what the service actually does today.

The short version

ClearBid does not store your projects, bids, estimates, or the reports it generates. What you type or upload is sent to our AI processing provider to generate your report and is not otherwise retained by us. When you close the tab or start a new comparison or review, that information is gone on our end.

You can use ClearBid without an account. If you create one, we store your email address, a hashed version of your password, the optional name and role you give us, which plan you're on, and a list of which reviews you've run (the date, the type, and a short label — never the bids, files, or report text). If you buy a plan, your card is handled entirely by Stripe and never reaches us. You can delete your account and everything in it at any time from your account page.

What we process, and why

When you use the service, you may provide:

  • Project, bid, or estimate details you type in (e.g. scope of work, pricing, timeline)
  • Photos or PDFs you upload of plans, bids, estimates, or site conditions
  • An email address, only if you use the optional "Email me a copy" button
  • If you create an account: your email address, a password (stored only as a salted hash), an optional name, and whether you're a homeowner, contractor, or property manager
  • Optionally, a rough project location (city and state, or ZIP) so the review can flag the permits and inspections that usually apply in your area
  • Optional free-text feedback about whether a report was useful

The text and files you submit are sent to Anthropic's Claude API to generate your analysis. That is the only purpose for which this content is used.

Accounts, and what an account stores

An account is optional — reviews work without one. If you create an account, we store it in our database so you can sign back in. That record holds:

  • Your email address and a salted scrypt hash of your password. We never store the password itself and cannot recover it.
  • Whether you've confirmed your email address, and when.
  • The optional name and role you provided.
  • Which plan you selected, when it started, when it expires or renews, and whether a single review has been used.
  • If you have paid: an identifier from our payment provider linking your account to your billing record with them, and a list of your purchases showing the date, plan and amount. We never receive or store your card number.
  • The date you accepted these terms and which version you accepted.
  • A history of reviews you've run — date, whether it was a bid comparison or an estimate review, a short project label you typed, and whether it ran as a free Lite summary or a full report.
  • Sign-in sessions, stored as a hash of a random token. Signing out deletes the session on our side, not just in your browser.
  • Short-lived, single-use links for confirming your address or resetting your password, also stored only as a hash. They expire (24 hours for confirmation, 1 hour for a reset) and are deleted the moment they're used.

We send email only at your request or to run your account: a link to confirm your address, a link to reset your password if you ask for one, and a copy of a report if you press the button asking us to send one. There is no marketing email, and we don't sell, rent, or share your address with anyone. Those messages are delivered through Resend, an email provider acting as our processor, which necessarily sees the recipient address and the contents of the message in order to deliver it.

Your review history is deliberately a list of what you ran, not the reports themselves. We don't keep your project descriptions, bids, estimates, uploaded files, or generated report text — so there is no archive of your bids on our side to lose, subpoena, or leak.

Deleting your account removes all of the above immediately and permanently, including every session and every history entry. There is no recovery window and no retained copy.

What we don't do

  • You don't need an account to use ClearBid — free Lite reviews work without one.
  • We don't store your submitted content, uploaded files, or generated reports, with or without an account.
  • We never see or store your card number, expiry date, or security code. Those are entered on our payment provider's own page.
  • We don't use analytics, advertising, or cross-site tracking scripts of any kind.
  • If you ask us to email you a copy of a report, that report is sent through our email provider to the confirmed address on your account, and to no other address. We don't keep a copy — that email becomes your record.
  • If you answer "Was this useful?" at the end of a report, your yes/no and anything you type in the box are emailed to us, along with your account address so we can reply. Your project details and the report itself are not included. Leaving it blank sends nothing.
  • We don't use the project location you provide for anything other than making that one review more relevant. It isn't stored after the review, mapped, or used to identify you or your property.

What your browser keeps

While you're filling in a review, what you type is held in your browser's session storage so that leaving the page — to compare plans, for example — doesn't lose your work. This stays on your own device and is never transmitted to us or anyone else. It's erased when you close the tab, when you start a new review, when you sign out, when you delete your account, after an hour of leaving it untouched, or when your browser clears site data. You can also discard it at any time from the button offered wherever we tell you it's being held.

If you haven't signed in, it's erased as soon as you return to the home page as well. That one is for shared computers: without an account there's nobody the work belongs to, and the next person to use that browser shouldn't find it. If what you entered is too large to keep (usually because of attached photos or PDFs), the text is kept and the attachments are dropped, and we tell you so on the page.

Separately, while a report is being written we show construction tips in the waiting screen, and your browser remembers which ones it has already shown you so you don't see the same one twice. That's a list of positions in a fixed, public list of tips. It says nothing about you, your project, or your documents, it stays on your device, and clearing your browser's site data removes it.

This is separate from the cookies below and is not used to identify or track you.

Cookies

The service uses strictly necessary cookies only. There are two: a preview-access cookie that confirms you've entered the pre-launch password (this goes away once the service opens to the public), and — if you sign in — a session cookie that keeps you signed in. The session cookie holds a random token, not your identity or any personal information; it is marked HttpOnly and SameSite so it can't be read by scripts or sent by other websites, and it expires after 30 days or when you sign out. Neither cookie is used to track you across sites, and neither is shared with any third party. We use no analytics, advertising, or tracking scripts of any kind.

Third-party AI processing (Anthropic)

We use Anthropic's Claude API to analyze the content you submit and generate your report. Anthropic processes this content as our service provider under its own API terms. As of this writing, Anthropic's standard commercial API terms state that content submitted through the API is not used to train Anthropic's models. Anthropic may retain API inputs and outputs briefly for abuse and safety monitoring, per its own policies — we encourage you to review Anthropic's privacy and data usage terms directly for the most current details, as they are not controlled by us.

Payments (Stripe)

Payments are processed by Stripe, Inc. When you buy a plan you are taken to a page hosted by Stripe to enter your card details. Those details go directly to Stripe and never pass through ClearBid's servers — we could not store your card number if we wanted to.

To process a payment, Stripe receives your email address, the billing name and address you give them, your card details, and a reference to which plan you bought. Stripe uses this to take the payment, prevent fraud, and meet its own legal obligations, under its own privacy policy. Stripe is a separate controller of that information; we cannot delete it from Stripe on your behalf, and their records may outlive your ClearBid account because tax and anti-fraud law requires them to keep transaction records.

What comes back to us is limited: an identifier for your billing record, whether the payment succeeded, and for subscriptions when the next renewal falls due. That is what lets your account show the right plan, and it is all we hold about the transaction.

Deleting your ClearBid account removes our side of that — your account, your plan, and your purchase list. It does not delete Stripe's own transaction records, which they are required to retain. If you want a subscription stopped, cancel it before deleting your account, or contact us.

Hosting and infrastructure

The service is hosted on Vercel. As with any web service, our hosting provider may log standard technical information (such as IP address, browser type, and request timestamps) for security and operational purposes, under its own policies. ClearBid does not separately access or use this data beyond what's needed to operate the service.

Children's privacy

The service is not directed at, and should not be used by, anyone under 18.

Your choices and your rights

Because we don't retain your submitted content, there is nothing stored with us from a review for you to access or delete — closing the tab already accomplishes that.

If you have an account, you can see everything we hold about you on your account page, and you can delete individual history entries or the entire account — including your email, password hash, plan selection, sessions, and full history — from that page at any time. Deletion is immediate and permanent. If you'd rather we handle it, or you want a copy of your account data, email info@useclearbid.com from the address on the account.

International users

ClearBid is operated from the United States and processes information using U.S.-based infrastructure and service providers. If you use the service from outside the United States, you understand your information will be processed in the United States.

Changes to this policy

We may update this Privacy Policy as the service evolves — for example, if we add payment processing or email delivery in the future, this page will be updated to reflect that before those features go live.
